PDF Upload with Automatic Recognition

Quidly automatically extracts data from offer PDFs and photos. This saves you from manually typing the data. The recognition is securely processed via servers in Frankfurt. Details on data protection can be found in the article "AI at Quidly – what goes to Google?".

How to use the upload feature

Click on "+ New Offer". In the upper part of the window, drag your file (PDF, JPG, or PNG, max. 10 MB file size) into the marked field or click on the field to select it.

Here's what happens next:

  1. The file is securely stored in your company's account.
  2. The AI extracts the content.
  3. The recognized data is directly populated into the form fields.
  4. The system suggests "today in 7 days" as the follow-up date.
  5. You check the values, correct them if necessary, and save the offer.

What Data the System Recognizes

  • Offer number

  • Customer name and contact (email, phone)

  • Amount

  • Description (If an offer lacks a subject, the AI creates a brief summary from the line items)

Note: Internal notes or annotations on the document are not extracted.

Protection Against Duplicate Offers

When you upload a file, Quidly checks in the background if this exact file already exists in the system. If it does, you can choose from three options:

  • Go to Offer: You are taken directly to the existing entry.

  • Create New Anyway: You use the document for an additional, new entry.

  • Cancel: The upload is stopped.

Important: This warning only appears for exactly identical files. If you change the offer in your program and save it again, the system considers it a new file.

Daily Recognition Limit

For security reasons, a maximum of 30 automatic recognitions are possible per user within 24 hours. If you reach this limit, you will need to manually enter the data for additional offers. The AI recognition will be available again as usual the next day.

Uploading Multiple Files Simultaneously
